14-April-2003 meeting - items discussed:
  1. OGRD News:
    • Andrea Comley has been hired as the new contracting officer and a position for a Grant and Contract Coordinator was posted with HRS. The position posting closed April 7th and we are awaiting a list.
  2. SPS News:
    • Lori Selby asked Brenda Carlson to update the group on the status of award processing at SPS. Brenda indicated that there is only a handful of awards older than March 1 that have not been setup and that Christy and Mike are doing very well.
  3. Technology Update:
    • Andrea Comley provided a brief update on the Technology Efficiency Design Team. Peggy Bowe indicated there was nothing new to report since the last meeting.
    • Andrea Comley and Jennifer Jansen discussed eRA. Andrea stressed the importance of providing ample time to OGRD when dealing with new electronic submission sites. Many can be complicated and cumbersome such as DOE IIPS. Jennifer discussed the specifics of DOE IIPS and problems associated with submission under this program. Due to the many complications related to this OGRD is asking that departments notify OGRD 3 days prior to submission in order to coordinate with DOE personnel in the submission process. Tom Martin requested that electronic submission procedures continue to be a topic at our FDP meetings.
  4. Policies/Guidelines/Procedures Information:
    • Lori Selby deferred her time to Nancy McMahon for balances training.
    • Andrea Comley and Jennifer Jansen discussed the new OGRD budget template. OGRD is requesting that department either incorporate the allocation/exclusion sections in their current templates or to use the template introduced. The template is available on the OGRD web page at the Quick Links section.
  5. Training and Education:
    • Andrea Comley announced that there will not be additional database training sessions at OGRD; however, Coordinators will be available to provide training at the department/college level. Parties interested should contact their appropriate Coordinator at OGRD to make arrangements.
    • Nancy McMahon provided training on the Balances system. Nancy covered the use of 01, 15, and 15x. Nancy also discussed the FACTS system. Nancy offered to set up a separate session at a computer lab for additional training in Balances and some hands on experience. (Exception Codes are provided at the end of the minutes.)It was noted that many of the department have been unable to gain access to FACTS. Lori Selby offered to check on this and report to the group her findings. 4-16-03 Lori informed the RAC group via email that FACTS is available and departments will simply need to fill out the Access Request Form to gain access.
    • Marilyn Burns provided an introduction to the Data Warehouse training and the use of Shadow Systems. Marilyn presented her Account Analysis sample and indicated she would be willing to provide that information electronically by email request.
  6. Other News:
